This page explains what information ClearMint Essentials keeps, why, for how long, and how it is deleted. It supplements our Privacy Policy and works alongside our Data Deletion page. It applies to clearmintessentials.com, the ClearMint Essentials web app, and related services (the “Service”).

1. What we keep & why

  • Account & profile (name, email, sign-in identity) — to operate and secure your account and address you by name.
  • Financial entries you create (income, bills, expenses, budgets, categories, notes) — to display your dashboard, projections and reports.
  • Imported data (OFX / CSV / PDF statements, transactions, balances, last-four account numbers) — to populate and reconcile your dashboard.
  • Billing metadata from Stripe (plan, status, last four digits) — to manage your subscription. We never store full card numbers.
  • Support communications — to answer and keep a record of your requests.
  • Product analytics (pages/features used, clicks, device, approximate region) via PostHog — to understand usage and fix problems. No screen or session recording — we do not capture what your screen looks like.
  • AI assistant feedback — if you rate an answer we keep the rating and your typed question to improve the assistant. We do not keep the answer or your financial figures.
  • Basic technical/usage data — to operate, secure and improve the Service.

We do not sell your personal information, and we do not use your financial data for advertising.

2. Retention periods

  • While your account is active — we keep your data so the Service works and your history stays available to you.
  • When you delete a record — deleting a transaction, account, card or other entry removes it from your active dataset immediately, along with anything imported with it.
  • When you delete your account — we remove your personal data from our active systems. We may retain limited records where required by law (for example, tax, accounting or fraud-prevention obligations on billing records) for the period the law requires, then delete them.

3. Backups & residual copies

For security and disaster recovery, encrypted backups may contain copies of data for a short period after deletion. These backups expire on a rolling schedule, after which the residual copies are overwritten. We do not restore deleted data from backups except as part of recovering the whole system from a failure.

4. Deletion & your control

  • In the appSettings → Data & Privacy → Clear data on this device wipes the browser copy only (cloud is preserved). Delete last import removes the most recent import batch. For permanent account deletion, use Request account deletion (reviewed manually — see Data Deletion).
  • By email — request full account deletion or a copy of your data by emailing support@clearmintessentials.com. See Data Deletion for the full process and timeline.
  • Exports — export a backup at any time (Settings → Export all data) before you delete, if you want to keep a copy.

5. Your rights

Depending on where you live (including under Canada's PIPEDA and provincial laws such as Quebec's Law 25), you may have rights to access, correct, port or delete your personal information, and to withdraw consent. To exercise them, contact us using the details below.
